WILL I ALWAYS HAVE THE SAME ASSISTANT OR WILL THEY VARY?

You will have a designated assistant. Even if you use multiple assistants, they will always be the same assistants. This ensures better continuity and productivity.

IS IT POSSIBLE TO HAVE MORE THAN ONE ASSISTANT AT A TIME?

It is certainly possible and happens frequently. Depending on the services outsourced, you can have as many assistants as you need. 

CAN I INTERVIEW THE ASSISTANT YOU PICK FOR ME PRIOR TO PLACEMENT?

Although an interview by the client is not impossible, it prolongs the placement process and therefore is not encouraged. 

We pride ourselves in our placement process and have countless success stories to match. 

Our scrupulous process starts when we assess your scope of work thoroughly before communicating the available position to our team.  Then a dedicated Team Manager hand-picks the best of the candidates.

The entire team has undergone screening prior to joining AdminAssist but once a position is posted, all interested parties are re-screened for the specific position before placement is done.

WHAT IF I AM NOT HAPPY WITH MY ASSISTANT?

If for some reason either party is not happy with the placement, our Assistant Team Manager will be there to help. You will work together to resolve the situation or replace the assistant. This process happens as quickly and seamlessly as possible to ensure downtime is kept to a minimum.

WHAT HAPPENS WHEN MY ASSISTANT IS ILL OR GOES ON VACATION?

This is an arrangement we leave with you and your assistant.

Should your assistant fall ill, s/he can make up for the hours lost at a time convenient to both of you. If for example there are off-peak seasons in your business, inform your assistant that those would be more suitable to take a vacation.

WHAT SECURITY MEASURES ARE IN PLACE TO PROTECT ME?

All our assistants sign a Confidentiality Agreement upon joining our team. If you would like any additional contracts or Non-disclosure Agreements to be signed with the assistant supporting you, we can discuss the matter. 

HOW WILL TIME BE MANAGED? HOW DO I KNOW HOW MUCH TIME SHE HAS ALREADY SPENT ON MY PROJECTS?

By maintaining regular contact with your assistant, you will keep up to date with the hours s/he has utilised and/or plan for the remaining hours. All assistants keep detailed timesheets which are submitted to Team Leaders for approval prior to invoicing.

DO MY HOURS ROLLOVER FROM ONE MONTH TO THE NEXT?

It is important that you manage your assistant’s time well, as hours do not rollover. 

TIME LIMITS – WHAT HAPPENS IF MY ASSISTANT USES MORE THAN THE ALLOCATED TIME?

Your assistant needs your permission to use more than your agreed hours. We bill the additional time at the end of the billing period.

WHAT MEANS OF COMMUNICATION IS USED FOR WORKING WITH MY VIRTUAL ASSISTANT AND ASSIGNING TASKS?

We adapt to the tools and platforms that work for you. Our existing clients delegate tasks through project management platforms such as Asana, monday.com and Trello – however email and WhatsApp messenger are also effective.

CAN MY VIRTUAL ASSISTANT MANAGE MY EMAIL INBOX AND CALENDAR?

Yes. Simply share the necessary logins and set the parameters within which your assistant can read, send, and delete messages/appointments on your behalf. Your VA can make use of his/her dedicated @adminassist.co.za email address or you can have them send emails from your domain instead.

CAN MY VIRTUAL ASSISTANT MAKE PAYMENTS ON MY BEHALF?

Yes. We recommend providing your VA with a dedicated credit card with a suitable transaction limit and to set it up so that payment notifications come to you directly. For added security, you can have the OTP come via you only. Your VA can place orders, make purchases, or schedule payments on your behalf. 

We recommend sharing this information over the phone and not via email.

CAN MY VA MANAGE MY PHONE CALLS?

This depends on how many hours you are contracted for. There can be specific times when phone calls are forwarded to your assistant. If your Virtual Assistant is unable to answer at that moment, they can return calls.

CAN THE VA CALL PEOPLE FOR ME?

Yes, they are there to support communication to your team and clients.

CAN THE VA MAKE SALES CALLS FOR ME?

Unless this is part of the specified scope we agreed to, cold calling (or sales calls) is not part of our services.  Instead, why not let the assistant relieve you of admin duties, creating more time for you to make those important calls?

WHAT IS THE TURNAROUND TIME ON TASKS?

This, of course, depends greatly on the nature (complexity and volume) of the tasks. 

Assistants manage their own workloads and often serve more than one client, therefore, your assignments should contain clear objectives, time limits and deadlines.
